01 / THE PROBLEM

Too much friction in a time-critical workflow.

Too much friction in a time-critical workflow.

An audit of the previous portal revealed unclear widgets, limited date filtering, no time tracking, and missing visual references for cleaning standards. Interviews also surfaced unreliable connectivity and difficulties collecting timely photo evidence.

Inefficient scheduling

Cleaners needed clearer visibility of upcoming jobs, priorities and time between cleans.

Lack of guidance and clarity

Existing interfaces were difficult to interpret, with limited visual guidance for cleaning standards and task completion.

Inconsistent quality control

Photos weren't mandatory, making it harder to verify completed cleaning work and identify missed details.

Connectivity and reporting challenges

Cleaners working in areas with poor reception couldn't always submit reports or update their progress on-site.

02 / DISCOVERY & RESEARCH

Understanding the existing experience

Understanding the existing experience

I began with a cognitive walkthrough and UX audit of the existing cleaners’ portal to identify usability issues, navigation challenges, and opportunities for improvement.

The audit highlighted several key issues, including unclear interface elements, limited date filtering, no time tracking, and the absence of reference imagery or required photo uploads.

I then conducted user interviews to better understand cleaners’ daily routines, challenges, and expectations, while also gathering insights into the needs of property managers.

This helped me move beyond the interface-level issues and identify the operational challenges behind them.

INSIGHT 01

Time is always tight.

“I don’t have a lot of time between cleaning jobs.”

Schedules needed to make priorities and upcoming cleans easier to understand.

INSIGHT 02

Technology can slow things down.

“Sometimes the technology is confusing.”

The interface needed simpler navigation and clearer information hierarchy.

INSIGHT 03

Reporting isn’t always immediate.

“Sometimes it’s hard to get the cleaners to send photos of damage.”

Managers needed more consistent photo documentation from the cleaning workflow.

INSIGHT 04

Connectivity can’t be assumed.

“Can’t use app where there is no service.”

Offline support emerged as a priority for future technical consideration.

03 / DEFINING THE USER EXPERIENCE

Building empathy through personas and journey mapping

Building empathy through personas and journey mapping

I developed a primary cleaner persona and mapped the journey from planning jobs to reporting issues and moving to the next property. This helped connect pain points to practical design opportunities.

Cleaner persona: goals, motivations and challenges.

Feature prioritisation: impact versus effort.

04 / THE SOLUTION & RESULTS

More clarity for teams on the go.

More clarity for teams on the go.

The final designs bring scheduling, task management, progress tracking, and reporting together into a more cohesive experience.

Across the responsive layouts, I focused on reducing visual complexity, improving information hierarchy, and making key actions easier to find.

The redesigned experience supports cleaners in staying organised throughout their day while providing property managers with clearer visibility of cleaning activity and documentation.

I conducted five moderated usability tests to evaluate the redesigned experience, focusing on scheduling, navigation, and task completion.

5/5

Users successfully located their assigned cleans without assistance.

4/5

Users cmpleted the photo upload process independently.

4/5

User navigated between calendar and list views without assistance.

Key takeaway

Key takeaway

Testing suggested that the redesigned interface made everyday tasks easier to navigate and understand. Feedback also highlighted opportunities to improve the clarity of photo uploads, helping refine the experience before development.
